Executive Assistant

We are in search of a self-driven, adaptable and highly skilled administrative professional to directly support our CEO with his daily needs so he can focus more on running the organisation. You will also work closely with our business development team so they can be more successful in growing the business.

Responsibilities

  • Understand business priorities of our CEO in order to best leverage his time
  • Strategic calendar management with strong attention to accuracy & detail
  • Manage and coordinate logistics for internal and external meetings
  • Handle inquiries quickly, proactively, and follow through on tasks to successful completion
  • Support our CEO in maintaining relationships with key people to ensure continuity in communications and to surface and pursue opportunities for collaboration
  • Embody the culture, values, and goals of your leaders when engaging with internal and external stakeholders
  • Identify operational weaknesses and help refine processes or develop new ones
  • Amendments to legal documentation & communication with lawyers as well as C level staff; manage international appointments, travel and events
  • Research and create proposals for prospective clients
  • Assist our Business Development Manager on documentation
  • Answer questions from clients and arrange meetings whenever necessary
  • Maintain a positive and effective working relationship with all members of the Sharesource team
  • Perform other ad hoc requests

Qualifications

  • You have at least 4 years of leadership support (Director, VP, C Suite) or similar experience. Preferably with an entrepreneurial type of executive.
  • You have some experience supporting more than one executive at a time
  • You have worked in a fast growing company and has adapted to ever-changing needs at this stage
  • You have experience with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides, Forms)
  • You have experience in heavy calendar management. Understanding priorities and how to prioritise key meetings and events.
  • You have excellent written and verbal communication skills and have effectively communicated with clients and C- level staff
  • You are able to prioritise business needs and make trade-offs across all stakeholders accordingly
  • At least 1 year previous experience within a service delivery environment
  • You have the ability to seek information beyond what is plainly presented to you, with an aim of understanding our CEO goals & actively finding ways to be helpful in executing these goals
  • You have incredible attention to detail and commit to flawless execution on tasks
  • You have an enthusiastic nature and are eager to help wherever you can, and do whatever it takes to ensure progress while being friendly, collaborative and approachable
  • You have the ability to really think outside of the box and problem solve as well as very proactive and you can implement ideas and solutions
